Before you start: If you skipped earlier steps, read Utility & Authentication Templates: Best Practi… first so nothing here feels confusing.
“Hi {{1}}” can feel personal—or get your template rejected.
Whole-body variable spam, empty mappings (“Hi ,”), and Utility slots filled with discount hype all fail review or burn quality after approval.
In this guide, you'll discover what WhatsApp template variables are, good vs bad patterns, sample values for approval, send-time mapping in Wapilot, and policy-safe personalization. As a WAPilot team that debugs broken campaign preview rows before bulk sends, we see empty name fields destroy reply rates faster than weak copy.
Personalization should feel helpful, not creepy. Variables exist so one Approved template can carry names, IDs, and times—without rewriting Meta-reviewed copy for every contact. Abuse the placeholders and you either fail review or ship broken “Hi ,” messages at scale.
Categories: message templates setup. First marketing draft: create marketing template. Utility/Auth rules: utility and authentication templates.
Sources: Meta's template messaging guide and message templates API docs. Variables are placeholders filled when you send.
{{1}} might be customer name, {{2}} order id, {{3}} appointment time. One Approved template then serves thousands of customers without rewriting Meta-approved copy each time.
Good: few variables, clear meaning, surrounding text that reads as a complete sentence, used for names, IDs, dates, amounts, or allowed links. Bad: body that is only placeholders, too many slots, variables used to hide a different spammy message, unclear order nobody documents.
Rule: write the sentence first. Then replace only the changing parts. Weak: {{1}} {{2}} {{3}} {{4}}. Strong: Hi {{1}}, order {{2}} ships on {{3}}.
Attributed example, from a WAPilot services workspace (2026): a template with six variables and vague sample values was rejected twice. Cutting to name + booking time with samples “Priya” / “10:30 AM Friday” approved in one review cycle.
Rule sources: Meta template messaging and message templates docs. Wapilot maps contact fields at send time; it does not invent missing data. Document a simple variable legend: {{1}} = first name, {{2}} = order id. Undocumented order is the fastest path to wrong fills across managers.
For Authentication, usually one code variable is enough. For Utility, prefer order id + track URL. For Marketing, keep the offer text fixed and personalize name or coupon code only.
In Campaigns: select an Approved template, complete variable mapping to contact fields, preview several rows, fix blanks, then send or schedule. Empty fields create “Hi , your order is ”. Test to your own number first. Confirm the right organization and connected number via connect WhatsApp.
Safe personalization: name, order number, appointment slot, known product, ticket id. Risky: variables that change the entire meaning into unrelated spam, misleading claims, or Marketing offers inside Utility/Auth slots.
Template Approved; each {{n}} documented; samples matched purpose at submission; campaign mapping complete; campaign preview shows no blank greetings; test send succeeded; category still matches after fills. Broken personalization drives blocks—watch quality rating. If Meta rejects for variables, simplify and fix samples next. Before every bulk send, preview at least five rows including missing names and contacts without order IDs.
Material changes to how variables are used after approval can require a new template. Don’t silently repurpose {{2}} from order id to a random promo URL on a live Approved template.
How we know: WAPilot operators review sample/mapping failures weekly against Meta’s public Cloud API docs—not guesswork.
Variable discipline also protects Campaigns analytics. When half your rows render blank names, reply rates and block rates become noise. Build contact fields before mapping, and treat sample values as part of the template product—not an afterthought on submit day. Teams that preview five contacts every time almost never ship “Hi ,” at scale.
When samples look like finished messages, Meta review goes faster and Campaigns mapping stays honest. Fake samples like “xxx” or “test” signal incomplete thinking—and often come back as Rejected or as broken live sends.
As few as needed. Beginners should prefer one to three clear variables over long chains.
Yes—provide realistic samples so reviewers see a finished-looking message.
A mapped field was empty. Clean the audience or add fallbacks before send.
No. One customer thread, one service window. Two brands on one Cloud API line share that clock—split numbers before you scale support and promos on the same line.
Recap: few clear variables, strong samples, careful mapping, never hide a different promo. When mapping is clean, start a free trial and grow on official Cloud API. Next in this series: Catalog & Payment Templates: When and How to Us….
